How to Import People into Text In Church Using a CSV File

If you're looking to import a list of people—maybe from your church database, a planning tool, or even a spreadsheet your admin team created—you're in the right place. Today, I’ll show you exactly how to do it using a CSV file.

📍 Step 1: Go to the Import Tool

From your dashboard:

  • Click “Tools” on the left-hand side

  • Then select “Import People”

This opens the tool where you’ll upload your contact list.

🧾 Step 2: Prepare Your CSV File

  • Already have a CSV file? Great—you’re ready to go.

  • Need one? Download the provided template right from this page. It has all the correct headers ready for you.

💡 Using software that doesn’t integrate directly with Text In Church? Most platforms still allow you to export a CSV—look for the "Export" button in your current tool.

📤 Step 3: Upload Your File

  1. Click “Choose File”

  2. Select your saved CSV and hit “Open”

Now you’ll choose which group these people should be added to. For example, you might select “All Church,” or a ministry-specific group like “Volunteers” or “Youth Parents.”

⚙️ Step 4: Choose Import Settings

You’ll now see two toggle options:

  1. “Blank cells should erase data”

    • Turn this on to wipe out existing data when a field is blank.

    • Leave it off if you want to keep any previously saved contact info.

  2. “I have obtained permission to email or text these contacts”

    • You’ll need to check this box to comply with messaging guidelines and make sure you’re reaching out ethically and legally.

Click “Process File” to move to the next step.

🧠 Step 5: Match Your Fields

Now you’ll match the columns in your CSV to Text In Church fields.

  • If you used the provided template, this part will be easy—fields like First Name, Phone Number, etc. will match up automatically.

  • If you used custom headers, no worries! Just use the dropdown to manually match each field to the correct place in the contact profile.

✔ Example:

  • CSV header: Cell

  • Match to: Mobile Number

Once everything looks right, click “Import People.”

⏱ Step 6: Review Import Summary

Text In Church will process your import right away—larger files may take a few moments.

When it’s done, you’ll see a summary that includes:

  • ✅ Who was successfully imported

  • ⚠️ Any errors (like missing phone numbers or email addresses)

For example, If a contact like Patricia Williams didn’t import, the system will explain why—perhaps because she didn’t have a mobile number or email address.

From here, you can head over to the Groups or People tab to see your newly added contacts!
