Understanding Automated Workflow Triggers

Automated workflows are a powerful way to stay connected with your people. But for them to run at the right time, you’ll need to set up a workflow trigger. Triggers tell the system when and why a workflow should begin.

There are five types of Automated Workflow triggers:

1. Groups Join Trigger πŸ‘₯

  • This trigger starts when someone joins a group.

  • A person can join a group by:

    • Texting a keyword πŸ“±

    • Filling out a Connect Card πŸ“

    • Being manually added by a leader

  • Once they’re in the group, the Automated Workflow begins sending messages automatically.

  • βœ… This is the most commonly used trigger and is perfect for first-time guest follow-up.

2. Calendar Date Trigger πŸ“…

  • This trigger is tied to a specific date on the calendar.

  • You can schedule steps to send:

    • Leading up to the date

    • On the exact date

    • Or after the date has passed

  • Great for seasonal events like:

    • πŸŽ„ Christmas

    • ✝️ Easter

    • πŸ“– Special sermon series

  • ⚠️ Important: If someone joins the group after the Calendar Date Trigger Automated Workflow has already started, they won’t receive messages that were scheduled before they joined.

3. Person Date Trigger πŸŽ‚πŸ’

  • This trigger is based on dates within a person’s profile.

  • Examples include:

    • Birthdays πŸŽ‰

    • Anniversaries πŸ’•

    • Baptism dates ✝️

    • Memorial or other meaningful dates 🌟

  • Because these triggers are unique to each individual, no two Automated Workflow will look the same (unless people share the exact date).

4. Connect Card Trigger πŸ“

This trigger starts when someone fills out a Connect Card.

A person can submit a Connect Card:

  • Online through your church website 🌐

  • With a QR Code

  • Through a link shared via text or email πŸ”—

Once their information is submitted, the Automated Workflow begins sending workflow messages.

5. Keyword Trigger πŸ”€πŸ“±

This trigger starts when someone texts a specific keyword to your Text In Church number.

Examples include:

  • β€œPRAYER” for prayer requests πŸ™

  • β€œEVENT” for special sign-ups 🎟️

Once the keyword is received, the person is automatically added to the connected group, and the Automated Workflow starts sending follow-up messages right away.
