Understanding Automated Workflow Triggers

Automated workflows are a powerful way to stay connected with your people. But for them to run at the right time, you’ll need to set up a workflow trigger. Triggers tell the system when and why a workflow should begin.

There are five types of Automated Workflow triggers:

1. Groups Join Trigger 👥

  • This trigger starts when someone joins a group.

  • A person can join a group by:

    • Texting a keyword 📱

    • Filling out a Connect Card 📝

    • Being manually added by a leader

  • Once they’re in the group, the Automated Workflow begins sending messages automatically.

  • ✅ This is the most commonly used trigger and is perfect for first-time guest follow-up.

2. Calendar Date Trigger 📅

  • This trigger is tied to a specific date on the calendar.

  • You can schedule steps to send:

    • Leading up to the date

    • On the exact date

    • Or after the date has passed

  • Great for seasonal events like:

    • 🎄 Christmas

    • ✝️ Easter

    • 📖 Special sermon series

  • ⚠️ Important: If someone joins the group after the Calendar Date Trigger Automated Workflow has already started, they won’t receive messages that were scheduled before they joined.

3. Person Date Trigger 🎂💍

  • This trigger is based on dates within a person’s profile.

  • Examples include:

    • Birthdays 🎉

    • Anniversaries 💕

    • Baptism dates ✝️

    • Memorial or other meaningful dates 🌟

  • Because these triggers are unique to each individual, no two Automated Workflow will look the same (unless people share the exact date).

4. Connect Card Trigger 📝

This trigger starts when someone fills out a Connect Card.

A person can submit a Connect Card:

  • Online through your church website 🌐

  • With a QR Code

  • Through a link shared via text or email 🔗

Once their information is submitted, the Automated Workflow begins sending workflow messages.

✅ Perfect for welcoming new guests, collecting prayer requests, or following up with event attendees.

5. Keyword Trigger 🔤📱

This trigger starts when someone texts a specific keyword to your Text In Church number.

Examples include:

  • “WELCOME” for new guests 🙌

  • “PRAYER” for prayer requests 🙏

  • “EVENT” for special sign-ups 🎟️

Once the keyword is received, the person is automatically added to the connected group, and the Automated Workflow starts sending follow-up messages right away.

✅ Ideal for quick engagement, outreach campaigns, or instant event registration.

❗ Note: A group is not required for this Workflow trigger to activate.

🙌 Why Automated Workflow Triggers Matter

Triggers give you flexibility to connect at the right time, in the right way. Whether it’s welcoming first-time guests, celebrating a birthday, or preparing for a big event, triggers help ensure your church communicates with care and intentionality.

🎓 Next Steps

  • Use Groups Join triggers for new guest follow-up and ongoing communication.

  • Try Calendar Date triggers for church-wide events.

  • Set up Person Date triggers to celebrate and care for individuals personally.

By using all three, you’ll create a communication strategy that helps people feel known, noticed, and loved every step of the way. 💙
