Types of Steps You Can Add to an Automated Workflow

Automated workflows are designed to make your communication intentional, consistent, and stress-free. 🙌 Once you’ve created a workflow, the next step is adding actions—called workflow steps. Each step tells the system what to do and when.

Here’s an overview of all the step types you can add to your Automated Workflow:

✉️ Send an Email

  • Create a personalized email message.

  • Great for sharing resources, event reminders, or ongoing encouragement.

📱 Send a Text Message

  • Send quick, direct communication that lands right in someone’s pocket.

  • Perfect for reminders, welcomes, or short updates.

👩‍💻 Staff Reminders (Email or Text)

  • Notify your staff or volunteers about a guest or task.

  • Example: “Follow up with John who visited this Sunday.”

  • Use this option if your staff member does not have a Text In Church login.

🌐 Send a Webhook

  • For tech-savvy users, a webhook connects Text In Church with other apps.

  • Example: Automatically push guest information into another system.

➕ Add to Group

  • Move a person into another group within your account.

  • Example: Add a first-time guest to a New Member Class group.

➖ Remove from Group

  • Remove a person from a group once their process is complete.

  • ⚠️ Important: This step should always be the last step in a Automated Workflow.

  • If you remove someone too early, they’ll stop receiving the remaining steps in that Automated Workflow.

✅ Create a Task

  • Assign a follow-up task to a team member.

  • Tasks are visible within the Text In Church account, so the assignee must have a login.

  • Example: “Call Sarah to personally invite her to the small group.”

(If your staff member doesn’t have a login, use a staff reminder email/text instead.)
