How to Create an Automated Workflow from Scratch

Automated workflows in Text In Church help you simplify communication, save time, and build stronger connections with your people. While we offer ready-made templates, sometimes you’ll want to create a custom workflow that fits your church's needs.

Here’s how to do it:

1. Navigate to Automated Workflows

  • From your dashboard, go to the Connect → Workflows section.

  • Click the Add New button.

  • Select Create From Scratch.

2. Choose Your Trigger

Every Automated Workflow needs a trigger—this is what tells the system when to start sending messages. You’ll choose between five options:

Groups Join Trigger 👥 Starts when someone joins a group Our Integrations are a perfect way to use our Automated Workflow triggers! (via keyword, Connect Card, or manual add). Ideal for guest follow-up or new member onboarding.

Calendar Date Trigger 🗕️ Sends messages based on a specific calendar date. Great for events like Christmas, Easter, or sermon series.

Person Date Trigger 🎂 Sends messages tied to a personal date in someone’s profile (birthday, anniversary, baptism, etc.). Ideal for personal touchpoints and pastoral care.

Connect Card Trigger 📝 Starts an Automated Workflow when someone submits a Smart Connect Card. Perfect for instantly engaging website visitors, Plan a Visit guests, or prayer request forms.

Keyword Trigger 🔑 Begins an Automated Workflow when someone texts a specific Keyword to your Text In Church number. Great for automating sign-ups, info requests, or sermon responses.

3. Select a Group (if applicable)

  • If you chose a Groups Join Trigger, you’ll now select the group that will activate the workflow.

  • Example: A First-Time Guest group.

4. Begin Building Your Automated Workflow

  • Once your trigger is set, click Next.

  • You’re ready to start building! Add messages, reminders, or notifications to guide your people and keep them connected.
