For Users with View +Modify Messages & Phone Numbers

This guide walks through what you can access and manage in your Text In Church account based on the permission levels your account holder has assigned to you.

Dashboard Overview

When you first log in, you’ll land on the dashboard. This page gives you a quick snapshot of your account activity, including:

  • Messages sent during the current billing cycle

  • Contact records created

  • Total groups

  • Emails sent

  • Minutes used for calling features

You can also view custom date ranges to check activity over a specific timeframe.

Sending Messages

The Messages section is where you’ll send text messages and emails to your contacts.

To create a message:

  1. Select New Message

  2. Choose either:

    • Text Message

    • Email

Step 1: Create a Message Title

Your message title is for internal use only. This helps your team identify the purpose of the message later.

Examples:

  • Volunteer Reminder

  • Guest Follow-Up

  • Small Group Check-In

  • Welcome Message

Step 2: Choose Recipients

Next, decide who you want to message. You can:

  • Select an existing group

  • Search for individual contacts

Example:
You might choose a “Small Group Sign-Up” group.

Step 3: Write Your Message

Type your message into the text box. A live preview appears as you type.

You can also use Variables to personalize messages automatically. For example:

  • First Name

  • Last Name

Example:
“Hi [First Name], new groups start April 27th. More details to come!”

Step 4: Send or Schedule

In the final step, you’ll:

  • Choose which phone number to send from

  • Decide whether to:

    • Send immediately

    • Schedule for later

Scheduling messages can be helpful if it’s too early or too late to send a text right away.

Managing People

The People section contains everyone you can text or email.

Adding a New Person

To add someone:

  1. Select Add New

  2. Enter their:

    • First Name

    • Last Name

    • Email Address

    • Cell Phone Number

At least one contact method is required:

  • Email address

  • Cell phone number

Both are recommended whenever possible.

Communication Permissions

Before creating the person record, confirm:

  • “Yes, I have permission to email them.”

  • “Yes, I have permission to text them.”

This means the individual knowingly provided their information and expects communication from your ministry.

Text In Church does not support duplicate contacts, so each person must have their own unique phone number and email address.

Using Groups

Groups help organize and segment people in your account.

Common examples include:

  • Men’s Ministry

  • Women’s Ministry

  • Prayer Team

  • Teachers

  • Medical Providers

  • First-Time Guests

  • Planned Visits

  • Salvation Decisions

With your permission settings, you can:

  • View groups

  • Open groups

  • See group members

  • View associated workflows

  • View connected Connect Cards

Keywords

Some groups may include keywords.

A keyword is a word or phrase someone texts to your church number to trigger an automated response.

Example:
A guest texts:
“WELCOME”

to a specific church number and receives an automatic follow-up reply.

Connect Cards

Connect Cards are digital forms used to collect information from people.

Examples include:

  • Plan a Visit

  • First-Time Guest Form

  • Prayer Requests

  • Small Group Sign-Ups

Inside the Connect Cards section, you can:

  • View card performance

  • See visit counts

  • Track completion percentages

  • Run reports

  • Export CSV files

When responses are submitted, reports will display all completed form answers in an organized format.

Automated Workflows

An automated workflow is a sequence of messages sent automatically to people in a specific group.

With your permissions, you can:

  • View workflows

  • See workflow names

  • View descriptions

  • Check whether workflows are active or inactive

  • See workflow steps

  • Track message activity

  • Favorite workflows

If a workflow does not display a status, it is currently active.
