How to Navigate Multiple Inboxes

If your church uses more than one phone number in Text In Church—like a local number plus an additional line—you’ll see that each number has its own inbox. 🙌

Managing multiple inboxes is straightforward once you know how to navigate them effectively.

Here’s a step-by-step guide:

1. Access the Inbox Drop-Down Menu

  • At the top of your Inbox section, you’ll see a drop-down menu.

  • From here, you can choose to view:

    • All Inboxes at once

    • Or one specific phone number’s inbox

2. View Messages by Phone Number

  • When a message is tied to a specific number, you’ll see a notification count (example: “1” next to your local number).

  • Click on that inbox to view the conversation for that phone line.

3. Mark Messages as Read or Unread

You have two ways to mark messages:

  • Left-Hand Inbox Menu (Individual Number)

    • Use this option to mark messages as read/unread for one phone number only.

    • Perfect when you want to clear notifications for just one inbox.

  • Right-Hand Actions Menu (All Inboxes)

    • Use this option to mark messages as read/unread or archive them across all phone numbers.

    • Helpful if you want to clean up all inboxes at once.

⚠️ Be careful here—if you mark a message as read/unread on the right-hand side, it applies to every inbox you’re managing.

4. Managing Multiple Phone Numbers

  • If you have more than two numbers, the same rules apply.

  • Use the drop-down menu to switch between inboxes individually.

  • Or use the all inboxes view to see everything in one place.

🙌 Why This Matters

Managing multiple inboxes helps you:

  • Stay organized across ministries or campuses

  • Keep communication clear and personal

  • Avoid missing messages from guests or members

By understanding the difference between inbox-level actions and all-inbox actions, you’ll have full control over your communication—ensuring everyone feels known, noticed, and loved. 💙
