Onboarding: Setting Up Groups for Targeted Communication

Welcome to Part 2 of your Text In Church onboarding journey! In this session, we’ll cover how to use Groups to communicate more intentionally with the right people at the right time. Let’s dive into why Groups matter—and how to set them up the right way.

Why Use Groups?

Effective communication is all about sending the right message to the right people.

Sure, you can message your entire church—but if someone keeps receiving updates that don’t apply to them, they may eventually stop reading altogether. That’s where Groups come in.

Think of Groups as filters to help you:

  • Send relevant information to specific ministries or teams

  • Organize contacts by interests, roles, or event involvement

  • Keep your all-church messages focused and timely

Real-Life Examples:

  • Your Men’s Basketball Group doesn’t need updates about the Women’s Pumpkin Party 🍂

  • Your Leadership Team might need reminders that don’t go to the full congregation

  • A First-Time Guest Group could receive a welcome series that members don’t need


Step-by-Step: Creating Groups

  1. Go to the Groups section in your dashboard.

  2. Click “Add New Group.”

  3. Name your group. Start with:

    • All Church (for members and regular attendees)

    • Leadership Team (for key staff and volunteers)

  4. Optionally, add a description (e.g., “Men’s Ministry” or “Guest Follow-Up”).

  5. Assign any users who need access to manage the group.

    Admins automatically have access to all groups—no need to add them here.

  6. Click “Next Step” to finalize your group.


Managing Group Details

Once created, each group will include several helpful tabs:

  • People – See or add group members (you can import from the People section or add manually).

  • Connect Cards – Attach or view Smart Connect Cards linked to this group.

  • Workflows – Automate messages or tasks for anyone who joins the group.

  • Keywords – If you’ve assigned a text keyword to this group, you’ll see it in the top-right corner.

You can use the group interface to quickly edit, assign, or build systems without jumping around your dashboard.


Best Practices

  • Use multiple Groups for targeted messaging—don’t rely only on “All Church.”

  • Think event-based (like “VBS Volunteers”) or role-based (like “Guest Follow-Up Team”).

  • Clean group structures help you automate smarter and avoid over-messaging your people.
